Dear Fellow Supervisors and Salaried Employees,

Who you are + What you do = What you get

For those of you who have attended a Leader’s Workshop, you've seen this numerous times. Hopefully you've had a chance to reflect on what this means to you and how it impacts your team and your work. For those of you who will attend our November 30th, December 6th or 7th workshop, you will learn more about it. Take a few minutes to think about what this equation could mean. 😊

A question we have received post-workshop is: what do we do with this information now, particularly around creating cultures that are built on both care and accountability. This is a challenging question because there's no one-size-fits-all answer. My first thought is to examine your mindset and current practices. Do they foster a culture of care and accountability? Do you believe the results will come if you show up grounded in your values and committed to having honest conversations, (even if they are awkward), and seeking opportunities to show appreciation whenever you can? If this is the direction of your heart and head, I’d say you are on the right track.

Another thing we've heard about the Leaders Workshop is that people appreciated the opportunity to gather, connect, and work through challenges. Don't stop. Find people who can continue to provide that opportunity, and we'll do the same. To that end, please fill out the survey form below on what ways we as employees can to find more opportunities to gather.

EMPLOYEE SKI PASS PROCESS

On Sunday, all employees received an email with a link to directions on this year's ski pass process. Please help your employees understand this process in order to get set with their passes as quickly and efficiently as possible. Some questions we've been fielding:
  • The mobile app-- What's that? The mobile app is part of the Aspen Snowmass Account Portal system that is used to sell our product. Employees can check to ensure their pass is loaded on this system either via the mobile app or the website. The Aspen Snowmass Account Portal is the umbrella system that houses all product orders.
  • Even if employees already have the mobile app, they need to download the latest version of the app to check for their pass. Directions are provided on the Employee Portal.
  • Dependent passes have not yet been loaded into the system and we have not yet shared that process with employees. Hang tight, we're aiming to share details early next week.
  • If they have a technical problem logging in or signing a waiver, they should call the Mountain Sales Call Center team at 1-855-868-5173 or go to a ticket office. If they don't see their pass loaded, that probably means there's a hold on their pass, and they should call HR at (970)-300-7700.
  • We *highly* encourage employees to ensure they're ready to go with their pass and/or pick up a new pass if they want one at a Pickup Box as soon as possible.
  • ASC recently sent an email out to guests explaining the mobile app and its features for more information on the mobile app. You can read it online here.

HR NEWS

HR ON-CALL NUMBER DISCONNECTED
The on-call number (970-355-0044) to HR during times when the office is closed is no longer in service. If you have an emergency or urgent situation when HR is closed, please reach out to your HR Manager via email or cell phone. The list of drug and alcohol testers is on the Employee Portal should you need assistance with a test. HR is open 8:00am-5:00pm M-F in the Aspen Highlands HR Office above the ticket office. You may also reach HR during business hours by calling (970) 300-7700 or emailing [email protected].

EMPLOYEE NAME ETIQUETTE: Please note
Sometimes employees go by a different name with their coworkers than what appears on their paycheck as their legal name. Get to know your employees and how they prefer to be called. Do not assume they are comfortable being recognized by their legal name. For example, ask your returning employees and your new hires what name they’d like to have on their nametags when ordering them. And be cautious when handing out paychecks. If a name doesn’t match an employee's preferred name, privately ask them if that’s their legal name instead of calling out a name you don't know on a check.

REMIND YOUR EMPLOYEES TO SAVE THE DATE: ASC FALL HEALTH FAIR.
ASC is holding its Fall Health Fair on Dec. 2 and 3 from 6am-11am at the Inn at Aspen. Bloodwork and flu shots will be available. For employees and dependents who are on our health insurance, the health fair is complimentary, even if you had your blood work at the spring fair. Remember, fasting ensures more accurate results. You can sign up for a spot online after Nov. 15. We'll share more information in an upcoming newsletter.

ENCOURAGE EMPLOYEES TO GET THEIR SHOTS.
There are several upcoming opportunities to get flu and Covid booster shots-- tell your staff. The ASC Health Fair will have flu shots. The mobile vaccine bus will be in the valley offering both flu and Covid booster shots (see schedule here), and we're working both to bring the mobile bus to CMC Onboarding 12/6 and 12/7 and also offer flu vaccines through City Market. We'll share more details when these are confirmed.

COVID PROCEDURES FOR SICK EMPLOYEES. Please refer to this policy for information on what to do with a sick employee. All Covid information, including a list of symptoms, can be found here. The best way to keep your staff healthy overall is to encourage any employee with symptoms to stay home and not risk infecting others, whether it's with Covid, the flu, the Crud, or anything else.

RFTA ZONE BUS PASS UPDATE. RFTA is moving their process to a mobile app this year with a Dec. 1 start date, and it's still a work in progress. We've asked them to clarify a process for those who don't have a mobile phone as well. We hope to have more information in next Monday's newsletter. In the meantime, encourage your staff to download the RFTA Mobile App, which can be found as "RFTA Mobile Tickets" in your app store. Full-time employees can still purchase a $15 cash/40 punch pass from HR. Thanks for your patience!

PAYROLL CALENDAR UPDATED
The payroll calendar on the employee portal had errors and a new version has been uploaded. The link is on the Supervisor Portal page.

HOW ARE YOU REACHING YOUR SPANISH SPEAKERS?
Local valley media outlets recently surveyed the Latino population about how they like to receive news. Why do the results matter? Because as the largest employer in the Roaring Fork Valley, often we need to share news and information as well. One takeaway is that there's an urgent need for basic resources (where can I get health care, how do I find a lawyer, etc.). Another takeaway is that Spanish speakers prefer to read about the news in their native language. Read the report and takeaways here. Ask yourself how you share information with our Spanish-speaking employees. Do they know about how to translate the employee portal (top of page just to the right)? Do they read the Spanish translation of the weekly newsletter? Do you post the Spanish News Brief? Reach out to [email protected] if you want to brainstorm ideas for how to reach all employees better, including Spanish-speakers.

ASC EMAIL GUIDELINES RELEASED

Email is meant to be a tool not a burden. ASC wants employees to be able to focus on their job and not on managing email. After review by ASC’s senior staff, these agreements and guidelines are meant to streamline the email process, create efficiency, and be observed by all employees of Aspen Skiing Company. Please share with your teams accordingly. In the Stop Now category: stop replying to all unless absolutely necessary. Stop acknowledging receipt of an email with a "thank you," and think carefully about who you cc in an email.

UNIFORM INFORMATION

All supervisors should have gotten their rosters to the Uniforms Dept. by Nov. 7. Please help ensure a smooth process by reminding your employees to pick up their uniform well in advance of their first day of work. They should bring to their appointment the season pass they plan to use this year and a credit card. They should also wear the undergarments they would wear for skiing.

Uniform Pick-up Schedule:
  • Mountain Ops, Ski Patrol, Ambassadors: Nov, 14, 15, 16, 17 2022 from 8am-3pm.
  • Ski & Snowboard Schools: Nov. 18, 21, 22, 23, 2022 from 8am-3pm
  • After Nov. 17, all Uniform Pick Up is by appointment only. They can schedule an appointment by emailing [email protected].

MANAGERS INFORMATION MEETING | Nov. 18

Don't forget that the season kick-off MIM is slated for Friday, Nov. 18 from 3-5pm at the Doerr-Hosier Center at Aspen Meadows. Parking is limited along Meadows Drive, but you can also park in the large lot along Gillespie Street and walk through the Aspen Meadows Campus. Salaried employees should RSVP here. If you have a new employee who did not receive an invite but should have, please email [email protected] to ensure they're added to this list.

NEW HIRE ORIENTATION & TOWN HALLS

Please ensure your new employees sign up for a mandatory New Hire Orientation. The dates are in conjunction with our upcoming Town Halls. Town Halls are not mandatory but recommended to learn more from the executive team and Mike Kaplan and to ask questions of them. For more information on how to sign up, please go here.

GRATITUDE: VETERANS DAY | Nov. 11

If you've got veterans on your team, be sure to thank them this Friday, Nov. 11 for Veterans Day.

NATIONAL PHILANTHROPY DAY |Nov. 15

There's no better way to encourage philanthropy at ASC than by encouraging employees to donate to our two employee-run philanthropic organizations that focus on the environment and our community. The Environment Fund and the Caring for Community Fund give away upwards of $300,000 a year. Employees can donate via a payroll deduction program, and there are other ways to be an employee philanthropist as well. Please encourage employees to research their options, get involved, and even apply for board seats when they become available (contact Hannah Berman) and learn more about easy ways to support these causes. TENANTS FOR TURNS

Please encourage employees seeking housing to check out the Tenants for Turns housing opportunities on the employee portal. Housing is extremely limited, but there are still T4T options available.

INTERNAL COMMUNICATIONS

INTERNAL COMMUNICATIONS ASK: Consider adding a line on your pre-shift or meeting agendas for internal communications. Currently only 50% of employees open our newsletters weekly, so your meeting is an opportunity to reinforce important company-wide information. The newsletter comes out every Monday-- add a topic to your pre-shift meeting all week long as well.
