Engagement Survey Update

(For Supervisors & Salaried Employees)

Dear Supervisors and Managers,

As many of you know, we have been reaching out to all employees in one form or another on an annual basis for over a decade to hear employee feedback. This feedback has become critical to informing our actions as a company in order to support you and your employees. Last year we had an incredible 70 percent response rate, and this year we’re shooting to top 80 percent -- we want to hear from as many voices as possible.

At ASC, we think of ourselves as adaptable—but the truth is, we can’t adapt and improve the employee experience if we don’t know where we need to change. This survey is one of the key ways we can understand how employees are doing – in the workplace and beyond. It lets us know what’s working and what needs some work and allows us to capitalize on our strengths while continuing to pursue growth and excellence for your benefit. Many company-wide initiatives have occurred because of employee survey feedback over the years.

I may be preaching to the choir here, but we need your support to ensure this survey reaches all employees—from the executive team down to every last front line employee—an area where we especially know our completion rates can improve. Please read on for additional information to help ensure we make the most of this opportunity to hear from all. The survey launches tomorrow afternoon.

Managers' Basic Survey Information:

  • If you are a manager and used the Engagement Survey dashboard last year, that link will not work this year. Please wait until you receive a dedicated dashboard link on Feb. 8 by an email from Qualtrics—and then bookmark that same link. If you go to Qualtrics on your own and try to log in, you will not see data for your employees.
  • After Feb. 8, we encourage managers to log in to check on your department’s completion rate. Please use that information to encourage remaining employees to take the survey.
  • If you're a manager and have 5 or more employees and have never used the dashboard or have questions, pop into one of the Dashboard Drop-In Zoom Q&A sessions with Susan Harig (dates/zoom links here). Those who supervise 5 or less employees will have their data rolled up to their manager. Supervisors will not have access to a dashboard.

Survey Information to Communicate to Employees:

  • The survey window is Feb. 1 at 3pm through end of day February 15.
  • Employees receive their survey link through a Qualtrics email with a specific link. The email goes to the primary email address they have listed in Kronos. There is no generic survey link, so they should not share or forward their link with other employees. If employees don't receive their survey, encourage them to check their spam filters first.
  • Employees will continue to receive reminder emails until they take the survey. They can take the survey on a computer or their smart phones or come into the HR Office.
  • The survey should take less than 15 minutes to complete.
  • Employees can choose English or Spanish at the beginning of the survey (top right).
  • Employees who work for multiple divisions will have their results counted in their primary area.

Ways you can help promote the survey to employees:

  • Set a department participation goal for this year (100% has a nice ring to it) in your next staff or pre-shift meeting. From last year, we know that front line staff and frontline staff leads had the lowest overall completion rate. Please make an extra effort to encourage these employees.
  • Ensure that your employees have access to a computer or smart phone to take the survey. Contact Allison Johnson in HR ([email protected]) if you need to borrow a laptop for computer access. Employees can also take the survey on their smart phone or come in to HR at Highlands.
  • Plan employee schedules so that employees can complete the survey during business hours (it takes less than 15 minutes), perhaps at the beginning or end of their shift.
  • Talking points to stress with teams:
    • This survey is used to improve the ASC employee experience and address issues or gaps that employees identify as a barrier to work fulfillment.
    • Feedback is important to ASC. We want them to provide specific, actionable comments. Feedback tells the department, division, and company leaders what works, what doesn’t, how to improve, and what to prioritize.
    • The survey helps us ensure our values and actions are in alignment at every level and division of the company.
    • Please ask them to be specific in their feedback. Here are some examples of feedback that's actionable and not-actionable.

  • Please emphasize that ASC does not know which employees take the survey. ASC uses a 3rd party vendor. We provide Qualtrics with an email list of employees and Qualtrics manages the list and survey distribution—we never see individual results. ASC and managers only see results at a departmental level and a department must have 5 or more employees for the feedback to be visible. Feedback may be sorted in various ways but if sorting produces less than five responses, the information is not available.
  • Throughout the two-week window, please continue to check in with your employees and impress upon them the importance of filling out the survey.

After the Survey Closes

  • After the survey closes, use this Managers’ Guide for next steps in reviewing your data, talking with your team and HR, and creating next steps toward improvement.
  • Department Heads in all divisions will work with their HR rep for action planning/ feedback sessions and next steps as well.
