THE LONG VIEW

For Supervisors & Salaried Employees
October 26 , 2022

Dear Fellow Supervisors and Salaried Employees,

Onboarding for the 2022-23 season has begun! All seasonally separated employees have been reinstated and resort onboarding sessions at CMC Aspen will now continue daily through mid-December. As a part of this ramping up process, we want to share important information with you for the start of the season and to help you welcome new and returning employees. Thank you for all the work you're doing to get us off to a great start!

Susan Harig
Managing Director of Engagement & Development, Human Resources

* REMINDER: You must be logged into the portal FIRST for below links to work.*

TOWN HALL

ASC is offering four Town Halls (10/26, 11/29, 12/5 (includes live stream for remote employees), and 12/20) to kick off the season. This is an excellent chance for all employees to hear from our executive team, ask questions, and mingle. Please sign up for ONE Town Hall only and have your employees sign up using the following links:
  • Current and returning employees RSVP here.
  • New Employees RSVP here to coincide with your New Hire Orientation session.
  • We welcome your questions! Use the RSVP forms above to submit a question of company-wide relevance to the executive team in advance. If you have a specific department or division question, please address that to your manager. If the question is not answered in the Town Hall, it will be answered afterwards on the employee portal.
More information is available here.

MANAGERS INFORMATION MEETING (MIM)

The next Managers Information Meeting (MIM) for Salaried Employees takes place on Friday, Nov. 18, 2022, from 3:00-5:00 p.m. at the Doerr-Hosier Center at Aspen Meadows (870 Meadows Rd, Aspen, CO 81611). Plan to stay after the meeting to enjoy a social hour in the lobby with apps and beverages. This meeting is for salaried employees only. RSVP here.

SEE MIKE KAPLAN ON STAGE AT TACAW!

No it's not MIM or Town Hall, it's stand-up comedy! Although he insists he's no comedian, our very own CEO & President Mike Kaplan will be the opening act for comedian Myq Kaplan on November 11, 2022 at TACAW. Comedian Myq Kaplan has been seen on the Tonight Show, Conan, The Late Show with David Letterman, Late Night with Seth Meyers, in his own half-hour Comedy Central Presents special, and in his own one-hour special on Amazon, Small, Dork, and Handsome. He was a finalist on Last Comic Standing and has appeared on America’s Got Talent. His album “Vegan Mind Meld” was one of iTunes’ top 10 comedy albums of the year, and his newest album “A.K.A.” debuted at #1. The New York Times called it “invigoratingly funny.” Myq headlines this comedy show but will be joined by several other comics performing that evening. Among them will be Aspen Skiing Company President & CEO Mike Kaplan, who wants to be clear that he is not a comedian. However, the chance to have Mike Kaplan open for Myq Kaplan was simply too good to pass up. Kick off the winter with more Kaplan than you could ever have possibly imagined. Employees can use the promo code “SkiCo” to get discounted tickets ($22). Order tickets here.

HR UPDATE

Human Resources put out an important update on information ranging from Work Ready to changes in the prescription plan last week. Be sure to read it and remind your employees to read it as well.

Meet the team!
Learn a little about your Human Resources Team and who represents you in this new resource here.

PERKS UPDATE

We are still in the process of updating the Perks & Benefits page on the Employee Portal. Real Deal vouchers are now available at the HR office in Highlands. The RFTA discounted bus pass program, which begins Dec. 1 each year, may be moving to a mobile app format per RFTA. More information to come.

MOUNTAIN UPDATE

SVP of Mountain Operations, Katie Ertl, put out a mountain update last week providing a progress report and looking ahead to the upcoming season. You can read it here.

NEW EMPLOYEES

New Employees have a host of new resources to help them acclimate to the valley and their position. These resources were sent directly to new employees and are also public-facing and available on the Employee Portal (i.e. do not require login) here. We want you to know about them as well:
  • ASC New Employee Guide. This guide introduces new employees to ASC and the valley
  • After Onboarding Guide. This guide provides information on what to expect next after onboarding.
  • Housing Resources. We have moved new employee Housing Information onto a public employee portal page. This includes Tenants for Turns.
We also have a new guide for supervisors! A Manager's Guide to Welcoming New Employees. This document is meant to be a general guide with ideas for how to make our new employees feel welcome and part of the team. (Are we missing something? Let us know at [email protected]).

Onboarding Update: Please remind your new employees that they need to bring original, unexpired documents to satisfy the I-9 requirement for employment. Copies or photos aren’t accepted. A list of accepted documents can be found here. If they don’t bring the correct documents, their onboarding and start date will be pushed back until they have the documents in hand.

ASC New Hire Orientation. Please encourage ALL your new employees (that's mountain, hospitality, and ASPENX) to sign up for their New Hire Orientation session in conjunction with a Town Hall. The dates are 2-4pm: Nov. 29 (Snowmass, BVCC), Dec. 5 (Snowmass, BVCC), and Dec. 20 (Inn at Aspen). These are meant to run in conjunction with a Town Hall. New Hire Orientation attendance is mandatory.

EMPLOYEE SKI PASS UPDATE

Our team is finalizing the employee pass process for this year. We will have the process completed for employees shortly after Nov. 1, and we’ll send out an all-employee email with further information then. Here's a brief overview of what to expect:
  • Existing and Returning Employees: No Kronos or portal forms required! Employees will have the option to use a previous year's Aspen Card pass or have a new card printed at a Pick Up Box. Employee passes will be loaded onto an employee’s existing profile.
  • New Employees. When possible, HR will create employee passes for new employees at onboarding or instruct them there on how to pick up their pass. To expedite the process, employees will be encouraged to download the Aspen Snowmass mobile app and create an account in advance. They'll have to upload a photo and waiver.
We plan to release ALL information on this process shortly after November 1. You also will be able to find pass information on the employee portal here.

If an employee needs to go into a ticket office (such as to pick up an uphill sticker):
  • Please remind them not to use the Buttermilk ticket office.
  • The down valley Riverside Ticket Office will only be open through Dec. 2. All ticket locations and hours can be found here.

UNIFORMS UPDATE

Employees in certain departments can begin coming in to pick up their uniform starting Nov. 14. Employees will need to bring whichever employee ski pass (Aspen Card) they plan to use for the season (does not have to be new 2022-23 card) and a credit card. Please check this page for all the details. Hospitality uniforms are different and managers will instruct employees there.

LEADERS WORKSHOP

The Leaders Workshop kicks off today! If you are a director and above and have not signed up yet, your last chance to take Program 1 is tomorrow (Thursday Oct. 27th). You may also sign up for remaining available Program 2 dates on Dec. 6 or 7. If you have supervisors/managers who are not yet back at work, please sign them up for one of these dates. It's mandatory. The sign-up link and all information on this workshop is here.

LOCKER ROOM MONITORS

New this season, all mountain locker rooms and hospitality EDRs have a communications monitor. We need your help in explaining what this is to employees and why it matters. It's a way to try to reach employees who do not read their email but may benefit from information shared there. It includes information on perks and freebies, mountain or company news, and culture-building elements like employee photos and videos (we welcome submissions to [email protected]).

We hope to partially individualize the monitors to each location as well, and we are looking for responsible parties to "own" the monitor at each location. Please ask your employees NOT to turn off the monitors. If you have questions, concerns, or would like to be a part of improving this process, please reach out to Allison Johnson at [email protected].

COMMUNICATIONS THIS WINTER

Employee engagement is based on trust, integrity, and a commitment to two way communication between an organization and its employees. Our communications prioritize three pillars: keeping employees informed of relevant company information, sharing useful information that employees may be interested in (such as a community health fair or event freebie), and building community among employees. Please share with your employees how we communicate with them and how they can communicate with us:

How ASC communicates with employees:
  • Monday newsletters are sent to ALL employees (includes English and Spanish version and also includes a 1-page ASC Brief for managers to print and hang on bulletin boards)
  • Wednesday bi-weekly Long View newsletters go to salaried staff and supervisors. New employees should reach out to [email protected] to make sure they're on the list.
  • Occasional important single emails are sent from executive team or senior leadership
  • The Employee Portal, the central repository for all employee information, is updated almost daily.
  • Locker Room Monitors will communicate important and timely information to employees.
How employees can communicate with ASC -- we welcome feedback.
  • Email [email protected] at any time with questions or concerns or information, story ideas, photos and videos to share. All feedback on what we should be communicating to employees is welcome and appreciated.
  • Use the Suggestion Box to anonymously offer constructive feedback on improvements and innovative ideas across the company. The email will be forwarded to the relevant party and a response will be posted on the employee portal.
  • To report ethical, policy, or employee relations concerns, please submit those using the third party Ethics Hotline here.
Keep your employees in the know this winter
  • Set the tone from the start regarding communications: If you tell employees that emails are too long or that nobody reads them...
    1. You'd be wrong. On average 1,900 employees open an email. But that leaves another half to third of employees who do not, who we'd like to encourage to do so.
    2. You're reinforcing a culture of devaluing communications efforts company-wide.
  • What you can do to help broaden our outreach and improve engagement:
    • Choose 1-3 items from a weekly newsletter to share at your staff or pre-shift meeting.
    • Be positive and encourage employees to check email regularly. Your employees are taking cues from you, so lead by example and make it count.
    • Help improve the process. Have an idea about how to improve communications? Reach out to us. We welcome your ideas! (Email [email protected])

ASC EMPLOYEE PHONE BOOK

Mindy Landis is starting to update the ASC Employee Phonebook. If you have new staff or would like to edit your department, please contact her at [email protected].

COMMUNITY & VOLUNTEERING ON THE PORTAL

The front page of the Employee Portal now has a news feed called Community. Here you'll find community opportunities for volunteering and community-related events and activities that employees may appreciate knowing about. Please share this information with your employees when appropriate.
